"Hi [Name], confirmed for Tuesday 2pm ET. I wanted to dig into how [specific problem you heard in discovery] is impacting your pipeline. Should be a quick conversation. Calendar link is below."
The email serves two functions: it reminds the prospect the meeting exists, and it signals that you actually listened during your initial call. Generic calendar invites are white noise. A personalized note lands differently.
Pre-Meeting Verification Call
Call or text the prospect 24 hours before the meeting. Not to reschedule. Not to confirm. To provide value.
"Hey [Name], just checking in ahead of tomorrow. I found this case study from [similar company] showing how they cut implementation time for [tool]. Thought it might be relevant to what you're dealing with. See you at 2?"
You're doing three things here: confirming they still plan to attend, giving them a reason to show up (new information), and establishing that you're serious about the meeting. Most BDRs skip this. The ones who do it see show rates jump 12-15 percentage points.
If they cancel or reschedule here, you've caught it early and can backfill your calendar instead of showing up solo.
Make the Meeting Easy to Attend
Send the calendar invite from a recognizable name, not a noreply address. Include the Zoom link, phone dial-in option, and meeting start time in the first line of the description. Don't make them dig.
For fintech teams especially: offer a dial-in number plus video option. Some ops teams are still call-first. You gain an extra 5-8% show rate by giving them choice.
Scheduled the meeting for 2pm? Make it 2pm exact. Not 2:01. Not "anytime after 2". Specificity signals professionalism and reduces the mental friction for busy people.
Set Explicit Expectations in Your Opener
On the call itself, start here: "I booked us 30 minutes. Here's what I want to cover: your current process, how [problem] is affecting your team, and whether it makes sense to explore this further. Sound good?"
You're doing two things. First, you're framing the meeting as transactional and bounded (people show up for defined agendas). Second, you're resetting expectations so the prospect knows this isn't a 60-minute deep dive. Fintech buyers are time-sensitive. A clearly scoped meeting feels more valuable than an open-ended exploration.
Automate Reminders Without Being Aggressive
Send one reminder 2 hours before the call. One. Not three. Make it conversational, not robotic.
"Chat in 2 hours. Have your team's current tech stack handy if you can — makes the conversation more concrete."
This touches them at the exact moment when they're deciding between staying focused and getting distracted. A good reminder is a soft nudge, not a nag.
Track and Adjust by Segment
Not all no-shows are equal. Track show rate by prospect title, company size, and industry. Your VP-of-Finance prospects might show at 85%, while controller-level contacts show at 62%.
Where you see persistent low show rates, tighten your qualification. You're wasting time booking with prospects who don't actually control budget or urgency. Or, adjust your messaging. If CROs consistently no-show, your opener is probably positioning the problem wrong for that title.
