How to start an outbound sales campaign for proptech firms in the UK

The proptech sector is ripe for outbound, but most approaches fail
Most property technology firms approach outbound like they're selling to consumers. They build generic lists, send template emails, and wonder why response rates sit at 2-3%. The issue isn't that outbound doesn't work for proptech. It's that proptech decision-makers—property managers, asset owners, facility directors—respond to something very specific: proof that your solution cuts operational cost or reduces liability.
Outbound done right can generate 15-25% qualified conversations from a cold list. But getting there requires precision. You're competing against established vendors, and your targets are drowning in generic pitches.
Know exactly who you're calling
Before you build a list, define your Ideal Customer Profile (ICP) with ruthless specificity. Don't say "property managers." Say:
Company size: 50-500 properties under management (large enough to justify software spend, small enough to move fast)
Geography: London, Manchester, Birmingham, Leeds (where property tech adoption is fastest)
Property type: Residential, commercial, or mixed-use (not industrial—different decision maker, longer sales cycle)
Pain point: Manual tenant/contractor communication, maintenance scheduling lag, or compliance tracking
Revenue indicator: EBITDA above £2M (can afford your solution without three-month approval cycles)
Buyer title: Head of Operations, Facilities Manager, Regional Director (not the CEO—they won't pick up)
This specificity matters. A property manager at a 200-unit portfolio with a specific maintenance headache will take your call. A generic "facilities decision maker" won't.
Build your contact list the right way
List quality determines campaign quality. Here's the order:
Start with your existing data. Check your CRM, past calls, and referral networks first. Warm or warm-ish conversations convert at 40-50%. Cold is always last resort.
Use targeted research for new contacts. LinkedIn Sales Navigator works for UK proptech, but manually checking 500 profiles takes weeks. Instead:
Search "Property Manager" + postcode (SW1, M1, B1)
Filter company size: 50-500 employees
Look for companies with "property," "facilities," "asset," or "real estate" in their industry
Add their email via Hunter.io or Clearbit (success rates: 60-75% on UK business email domains)
Run list validation before outreach. A single wrong title wastes your team's time. Use MillionVerifier or similar to check email deliverability (99%+ confidence only). Expect 15-20% of initial emails to bounce—it's normal.
Segment by property type. Don't send the same message to a residential PM and a commercial asset manager. They have different problems.
Target list size: 200-400 contacts per month. Smaller campaigns let you iterate message and refine targeting before scaling.
Craft messages that actually convert
Generic subject lines ("Interested in proptech solutions?") get deleted. Specific ones based on their business problem work better:
Subject line example: "Reducing compliance gaps for [Company Name] property managers"
Opening line: Reference something real about them—their company size, property portfolio, or a recent expansion you found. UK proptech buyers respond to specificity.
Body structure:
First sentence: One sentence stating the problem they have (not your solution yet)
Second section: One specific result others achieved ("Asset managers in Manchester reduced tenant communication time by 6 hours/week")
Call to action: Ask for 15 minutes, not "a conversation." Time specificity works. "Could we grab 15 minutes Tuesday or Wednesday?"
Example opening (adjust to your solution):
"Hey [Name], I work with property managers running 100+ units across the UK. Most tell us their biggest friction is coordinating between maintenance and tenants—emails get buried, requests take weeks to move.
Quick win we're seeing: property managers cut follow-up time by 40% in the first month. Worth a quick conversation?
Tuesday or Thursday work for you?"
That's it. Five sentences. No corporate jargon.
Execution: Phone outreach beats email alone
Email alone gets 2-5% response. Email + phone call gets 15-25%.
The sequence:
Day 1: Email to 50 contacts
Day 2-3: Call those same 50 (don't leave voicemails; just dial and hang up—it shows as a missed call)
Day 4: Follow-up email to those who didn't respond
Week 2: Second phone attempt
Week 3: Final email
You need human dialing. This is where most UK proptech outbound fails. Firms try to automate everything or use dialers that feel robotic. Property managers—who are busy and skeptical—won't engage with auto-dialers.
Set realistic volume. One person can make 60-80 calls per day (not dials, actual calls). That's 300-400 per week. So a team of two covers 600-800 contacts/month. That's sustainable.
Track what matters
Don't measure email opens. Don't measure clicks. Measure:
Connect rate: % of dials where someone picks up (aim: 25-35%)
Qualification rate: % of connects who fit your ICP (aim: 40-50% of connects)
Meeting booked rate: % of qualified connects who book a demo (aim: 25-35%)
These compound. 100 dials → 30 connects → 15 qualified → 4-5 meetings. That's healthy. If you're below it, the problem is your message or targeting, not your calling.
Track source. Which sectors convert highest? What titles respond? Which postcodes? Refine weekly.
Avoid the proptech outbound mistakes
Mistake 1: Selling features instead of outcomes. "Our platform integrates with 50+ systems" means nothing. "Your team stops re-entering tenant data into three different systems" means everything.
Mistake 2: Targeting too many segments at once. You dilute your message. Pick one property type, prove ROI, then expand.
Mistake 3: Giving up after two weeks. Outbound takes 4-6 weeks to generate predictable conversations. Most campaigns fail because they're killed at week three.
Mistake 4: Using junior reps without training. A property manager hearing from someone who doesn't understand their workflow will ignore them. Train your team on proptech basics first.
