How do you handle existing client lists to avoid contacting them?

We maintain a suppression list of all your existing clients so they never receive outreach from our team. Representatives cannot add suppressed contacts to campaigns, even if they receive referrals from prospects. This prevents the awkward situation where a prospect's referral lands in the inbox of someone they already do business with.
How the Suppression List Works
When you partner with us, we ask for a list of your existing accounts. This includes current clients, strategic partners, and any company you want protected from outreach. We load these 100% into our system before the first campaign launches. Every contact we target gets checked against your suppression list automatically.
If a contact matches anything on your list by name, domain, or associated email, they're blocked from being added to any campaign. No manual review needed, no exceptions.
Why This Matters for Your Brand
Getting outreach from a vendor you already work with damages trust. It signals disorganization and makes your team look like they don't talk to each other. We've seen deals stall because a prospect got contacted by our team, then had to explain to their existing contact why they were approached. That friction is completely avoidable.
The suppression list also protects account relationships. Your team knows their accounts better than we do. If your CSM is working with a company on renewal strategy, the last thing you want is our outreach creating confusion about your sales process.
What Happens With Referrals
Referrals are a common scenario. A prospect will sometimes say "You should talk to my colleague at Company X" or "We use your service over at our sister company." We don't add those referrals automatically.
Instead, we flag them and send them back to you. You decide whether to add them to the suppression list or give us permission to include them in a campaign. That decision stays with you. We've found most teams suppress referred contacts anyway, because those accounts are already in your ecosystem.
Regular Updates and Maintenance
Your suppression list isn't static. As you land new clients or form new partnerships, we update the list. We typically sync quarterly or whenever you onboard a major account. You can also request updates ad hoc if you close a deal and want someone suppressed immediately.
We've also learned to flag similar variations. If your client is listed as "Smith Corp" and we find "Smith Corporation" or "Smith Co." in our target database, those get suppressed too. Exact matches miss a lot of the real-world data, so we use fuzzy matching to catch variations without being so loose that we suppress companies you actually want to reach.
Who Decides What Gets Suppressed
You're in control. We don't suppress contacts based on our own judgment. Some teams choose not to suppress past clients if they want to re-engage them for upsell. Some suppress entire industries because of internal policies. The suppression list reflects your business rules, not ours.
This also means you can be aggressive with your target criteria knowing we'll respect your boundaries. If you say "reach any founder at companies making over $5M," we'll be selective within that universe and make sure nobody on your list gets contacted by accident.
