Target by buyer type, not by company size. Don't call the office manager. Call the operations director. Conveyancing tech goes to the conveyancer or the practice manager, not to procurement. When your dials are aimed at the right person, your connect rate jumps from 8% to 25%.


Lead with insight, not pitch. Our best-performing teams don't open with "Hi, I work for a software company." They open with something that shows they've done homework. "I noticed your firm handles conveyancing cases across England and Wales, and I saw your integration with [competitor software] took 6 months to deploy. We've helped similar practices go live in 3 weeks." That's specific. That's credible. That changes the conversation.


Understand their tech stack. Know what systems they're already using. Know which integrations matter. Know which ones are pain points. When your cold caller mentions that they've worked with other firms that use [specific conveyancing platform], they sound like they've done this before, not like they're reading from a script.


Price per meeting, not per dial. You only pay for conversations that actually happen with decision makers. No dial-to-fake-connection accounting. No paying for numbers that never answered. You pay for a real scheduled meeting. If they don't show up, you don't pay. This keeps everyone honest: the outbound team actually cares about quality, and you only carry cost when there's real pipeline.


The Proptech-Specific Metrics That Matter


When you evaluate an outbound service, most agencies quote vanity metrics: "We dialed 10,000 numbers" or "We got 250 conversations." That's not useful for proptech.


Here's what we track instead:


Connect rate to proptech decision makers: 18-28% for warm lists, 12-18% for cold lists. Below 12% means the list is bad or the dial strategy is off.


Quality meeting rate: 35-45% of connects result in a real meeting with someone who has budget and buying influence. The rest are gatekeepers or people doing you a courtesy. Don't count those as wins.


First-call close rate: In proptech, this is 5-12% depending on your deal size and sales cycle. If your outbound team is closing 15% on the first call, either your price is very low or the leads aren't real decision makers.


Show-up rate: 70-80%. Some no-shows are inevitable, but below 70% means the meeting wasn't qualified.

Get specific about what "support for proptech" means. Ask them:


  • Have you called property firms before? Ask for two references. Talk to them.


  • Do you understand the difference between conveyancing, estate management, and property acquisition tech? If they give you a blank look, walk away.


  • What's your average connect rate to property operations teams? If they say 35%, they're either lying or they've got some secret. Reality is 12-28%.


  • Who does the calling? Is it AI dialers or real humans? For proptech, real humans beat AI. Your buyer can tell the difference in 10 seconds.


  • How do you qualify the lead before I schedule a meeting? Bad answer: "Our system just dials the list." Good answer: "We check online for recent funding or news, confirm the company still uses the systems you integrate with, and route to the right department before we dial."


  • Do you refund meetings that don't show up? If not, they're not incentivized to qualify properly.


Building Your Proptech Pipeline


Outbound is one channel, but it works best in combination with strategic targeting.


Start with a warm segment first. Your existing customers, warm referrals, companies you know are in-market. Your outbound team will close 3-4x higher from this list, and you'll have real meetings to work with while you build credibility in cold prospecting.


Layer in intent signals. If you can find which property firms are actively hiring, expanding, or integrating new software, prioritize those. They're 40% more likely to take a meeting. Your outbound team should know how to access this data.


Segment by software stack. If you know your buyer uses specific conveyancing software or property management platforms, find companies using those systems. They're your natural fit.


Build a long-term sequence. One call isn't enough. Real proptech decision makers are moving slowly. Your outbound team should be running a 3-4 week sequence: cold call, follow-up email, second call, LinkedIn message. The best meetings come after touchpoint 2 or 3.
